How the PA Department of General Services hosted their annual Procurement Expo with Canapii
Chavous Consulting was contracted by the Pennsylvania Department of General Services to transition their annual procurement expo into an extraordinary virtual event space with educational workshops, networking, and an extensive exhibit hall.
Translating a large-scale expo into the virtual world
The client needed a platform to support 800+ attendees and a backend portal for 40+ sponsors and exhibitors to build their own booths. Each day featured a general session leading into concurrent workshops, VIP receptions, an awards ceremony, and dedicated sponsor interaction time.
The platform had to support both large and small audience sessions, accommodate last-minute speaker requests, and provide live tech support for attendees new to the virtual event experience.
Greenroom broadcasting, gamification, and automated workflows
For high-viewership general sessions, Canapii's Greenroom solution enabled organisers to build, manage, and run their own live streams with pre-recorded videos, polling, and Q&A functionality. For intimate workshops, Canapii's Chime conferencing solution enabled roundtable experiences.
The organisers also used Canapii's gamification functionality to drive interaction and networking, along with automated workflows to maximise efficiency. All sessions were recorded and stored in a Video on Demand library for on-demand access during and post-event.
A four-day expo spanning two weeks
The expo was a resounding success, taking place over 4 days spanning two weeks. Polling and Q&A functionality increased attendee interaction while providing valuable spaces to network and develop career skills.
Exhibitors and sponsors used the sponsor portal to build and manage their booths, with in-depth analytics tracked across all aspects of the platform for lead generation and session feedback. The tech support tabs present in each session proved critical in quickly triaging unforeseen issues.
